Terms and conditions
The rules our plan runs under. Written to be read, not skimmed past.
Last updated: 8 October 2026. These terms apply to the website plan and any add-ons we provide. The version that applies to you is the one you accepted, as updated under clause 23.
The short version, which does not replace the detail below. You pay £49 a month, one payment each month, for a minimum of twelve months, then month to month. There is no upfront fee. Payments start on your launch date, which is when your site goes live, or 14 days after we send you the finished site to check if it isn't live by then. The agreement is binding as soon as you accept it, and cancelling before your launch date carries a fixed fee set out in clause 4. We write the text and build and look after a five-page website, plus hosting and your domain. You check everything before it goes live. Small changes are included, larger work is quoted first. The site is provided as part of your subscription and comes down if you leave; your domain is yours to keep.
1. Who these terms are between
These terms are an agreement between Greensand Web Services Ltd, trading as Greensand Web Services ("we", "us", "our"), and the business that subscribes to our plan ("you", "your"). Greensand Web Services Ltd is a private limited company registered in England and Wales, company number 17106182. Registered office: 22 South Road, Sandy, England, SG19 1HE. They become binding on you and us the moment you accept them, whether by ticking the box on our confirmation page, by signing, or by confirming in writing, and they replace anything discussed beforehand by email, by phone, on our website or otherwise. They can only be changed by an email from us that says it changes these terms, or under clause 23. Our website, adverts and other marketing describe our service in general terms and do not form part of this agreement.
Our plans are for businesses only, including sole traders and other self-employed people buying for their business. By subscribing, you confirm you are acting for the purposes of your trade, business or profession and not as a consumer.
2. What we provide
For £49 a month, we provide:
- A website of up to five pages, designed around your business. A page means one web page of normal length for a small business website, with up to about 1,000 words of text and 10 images. A page longer than that counts as more than one page
- The text for those pages, written by us from the information you give us and from publicly available information about your business, as set out in clause 8. Blog posts are not included
- Basic search engine optimisation: page titles, meta descriptions, sensible keyword use, and a mobile-friendly, fast-loading structure. This is the foundational technical setup, not an ongoing SEO strategy or content marketing service
- A domain name, registered and managed by us on your behalf
- Hosting, keeping your site live, maintained and secure
- Up to ten free small changes a month, each taking up to 15 minutes: text edits, updated opening hours or contact details, a swapped photo, or a similar minor tweak
- A free holding page with your business name and contact details, so you are online while your full site is being built
- A page on your site to display your privacy policy and any other legal notices you need, using wording you provide, as set out in clause 10
- A contact form on your website
- Basic technical upkeep: security patches and uptime monitoring, which we aim to keep on top of at all times but do not guarantee without interruption, as set out in clause 13
- One email address on your domain
We decide which software, tools and methods we use to design, build and write your website, and we may change them over time. Whatever we use, everything is checked by us before it is sent to you.
What is included is also summarised on our pricing page. If anything there, or anything we have said elsewhere, differs from these terms, these terms apply.
3. Add-ons
The following are available in addition to the core plan, each quoted or priced separately:
- Online shop or payment functionality, built with WooCommerce
- A booking or appointment system, using an established third-party tool wired into your site and styled to match. This is not a custom-built booking system, and the third-party tool's own fees, if any, are separate from ours
- Extra pages beyond the five included, at £5 a month per page
- Complex design work beyond the standard build, quoted individually
- Ongoing SEO strategy, and writing beyond the text for your core pages, quoted individually
- Additional email addresses beyond the one included, at £3 a month each
- A blog, at £15 a month, with up to one post a month published for you. You write your own blog posts. If you would like us to write them, that is quoted separately. The blog is an add-on and is not one of your five core plan pages
Add-ons are billed alongside your core plan and are subject to these same terms unless we agree otherwise in writing.
4. The minimum term, and cancelling before launch
The minimum term is twelve monthly payments. One payment is taken each month, not all at once, starting on your launch date. Your launch date is the day your website goes live, or 14 days after we first send you your finished website to check, whichever comes first. You can keep asking for wording changes after your launch date, but they no longer delay your payments. The minimum term only ends once we have received all twelve in full, so any payment that is missed, late, reversed or not taken for any reason, including while your website is suspended, does not count towards the twelve until it has been paid. If a payment is reversed, for example through a Direct Debit indemnity claim or a card chargeback, it is treated as unpaid, and you must also pay any fee our payment provider charges us because of it. This is what allows us to build your website without asking for a deposit, since the work happens at the start while the payments arrive over the year.
Once all twelve payments have been received in full, your plan continues month to month. You can then cancel by giving us 30 days' notice in writing, meaning email is fine. You may give that notice before the twelfth payment, but it cannot end the plan until the twelfth payment has been received.
Your website stays online for as long as your subscription is active and paid. If a payment isn't made, or you stop without giving the required 30 days' notice, the website will be taken offline — see clause 5 for how missed payments are handled.
Cancelling during the minimum term does not end your obligation to pay the remaining months. We build your website at our own cost before you pay anything, and the minimum term is how that cost is recovered. If you stop paying or cancel early, every remaining payment for the minimum term becomes due immediately as a debt. Where we agree to an early exit, we may accept a reduced amount instead, but we are not obliged to.
Cancelling before your launch date. From the moment you accept these terms we reserve time in our schedule for your project and begin preparing it, and we turn other work away to do so. Your commitment to the twelve month plan starts at that moment, even though payments only start on your launch date. If you cancel after accepting these terms but before your launch date, you agree to pay a fixed cancellation fee instead of the twelve monthly payments, as follows:
- £49 if you cancel before we have started writing or designing your website
- £249 if you cancel after we have started writing or designing your website
- £449 if you cancel after we have sent your website to you for review
These fees are well below the value of the twelve month plan. They reflect the time we have reserved and the work we have done, which we cannot recover elsewhere once a project is cancelled. They are payable within 14 days of our invoice, and clause 5 applies to them if they are paid late. Our project records show which stage your project had reached.
Any of the following counts as cancelling before your launch date: telling us you no longer want to go ahead; not registering your payment details within 7 days of accepting these terms; or not responding to us for 30 days while we are waiting on you. In the last two cases we will remind you in writing first and give you 7 more days before treating the project as cancelled.
5. Payment
- Within 7 days of accepting these terms, you must register your payment details with our payment provider. Registering is not a charge, and nothing is taken from your account at that point. We may wait until it is done before starting work, and if it is not done, clause 4 applies.
- Your subscription, and your first payment, begins on your launch date, as defined in clause 4.
- Payment is by monthly subscription from that point, taken on the same date each month.
- You must pay every amount in full. You cannot hold back or reduce a payment because of a complaint, a dispute or a claim you have against us. Raise those with us separately.
- Prices exclude VAT unless stated. If we become VAT registered we will notify you before it affects your billing.
- If a payment fails, we will tell you and try again. If it remains unpaid after 14 days we may suspend the website until the account is up to date.
- If it remains unpaid after 30 days we may terminate the agreement under clause 15. If we do, every remaining payment for the minimum term becomes due immediately as a debt.
- On any overdue amount we may claim, as the Late Payment of Commercial Debts (Interest) Act 1998 allows: interest at 8% a year above the Bank of England base rate, fixed compensation of £40, £70 or £100 per late payment depending on its size, and our reasonable costs of recovering the debt, including court fees.
We will give you at least 30 days' written notice of any increase to the price of your core plan, and the core plan price will not increase until all twelve payments of your minimum term have been made. This promise covers the core plan only, meaning what is listed in clause 2. Anything you add or ask for on top, such as add-ons, extra pages, extra email addresses or other work under clauses 3 and 12, is priced separately at the rate we agree with you at the time, and adding it to your bill is not a price increase.
6. Ownership, and what "provided as part of your subscription" means
You do not own the website. While your subscription is active and paid, we grant you a licence to use it as your business website. We retain ownership of the design, the code, the templates and any components we have built, including anything created specifically for you.
If your subscription ends for any reason, the website is taken offline. We are not obliged to hand over the files, the design or the code, and there is no version of the site that continues to exist for you elsewhere.
Content you supply, meaning your text, photographs, logo and branding, remains entirely yours. We claim no rights over it and will delete our copies on request once the account is closed and settled.
Text we write for your website belongs to us until every payment due for your minimum term has been made. Once it has, we transfer to you whatever copyright and other rights we hold in that text, and you may keep and reuse it wherever you like, including after you leave. Until then you have a licence to use it on the website we provide.
7. Your domain name
- Your domain is registered and managed by us as part of your plan.
- The domain is yours. Provided every fee we have paid on your behalf has been reimbursed, we will transfer it to you or to a registrar of your choosing on request.
- There is a £15 administration charge to release a domain, covering the time a transfer takes.
- If you already had a domain and asked us to point it at your new site, none of the above applies to that domain. It never leaves your control.
8. Your website text, and approving it
We write the text for your core pages. We base it on the information you give us, such as your services, prices, areas covered and contact details, and on information about your business that is publicly available, such as your existing website, Google Business Profile or social media pages. We may ask you questions to fill any gaps.
We are not experts in your trade and we cannot verify everything we find. Before your site goes live, we will send it to you to review. You can ask for as many changes to the wording as you need until you are happy with it. Changes to the design are covered by clause 12.
You are responsible for checking that everything on your site is accurate, complete and lawful before you approve it. This includes prices, qualifications, accreditations, insurance, guarantees, opening hours, service areas, reviews and testimonials, and any claims about results. Once you approve the site, or ask us to put it live, its content is treated as yours. We are not responsible for any loss caused by content you approved being wrong, out of date or unlawful, including where it was based on information you gave us or that we found in public sources about your business.
If your trade has rules about what you can say in advertising or online, for example in health, finance, legal or other regulated services, you must tell us before we write your text, and you remain responsible for making sure your site follows them.
If we have sent your site for review and have not heard from you within 7 days, we will remind you. If we then hear nothing for a further 3 days, we may treat the site as approved and put it live, so that your project does not stall. You can still ask for wording changes after it is live, and we will make them as part of your included small changes.
9. Blog posts
Blog posts are not included in your plan. If you have the blog add-on, you write your own posts and we publish them, unless you pay us to write them as set out in clause 3. If we write a blog post for you, clause 8 applies to it in the same way: you check it, and once you approve it, it is treated as yours.
10. What you need to give us, and legal pages
We cannot build a website out of nothing. You agree to provide the information, images and logo we ask for, and to respond to questions within a reasonable time.
You confirm that everything you send us is either yours or properly licensed for use, and that it is accurate and not unlawful. If a third party claims that content you supplied or approved infringes their rights or breaks the law, you agree to cover the costs and losses we incur as a result.
We are not solicitors and we do not give legal advice. We do not write privacy policies, cookie policies, terms and conditions or any other legal documents for your business. If you need them, you provide the wording, for example from a solicitor or a reputable template service, and we add it to your site. If you ask us to, we can put a generic template in place as a starting point, but it is not tailored to your business, you must check and adapt it, and relying on it is your decision.
You are responsible for your website and your business complying with the law that applies to you, including data protection, cookie consent, consumer protection, advertising rules and any rules specific to your trade. We will build the features you ask for, such as a cookie banner, but whether they meet your legal obligations is your responsibility.
If we have not received what we asked you for within 14 days of you accepting these terms, we may go ahead and build your website using the information publicly available about your business, and send it to you to check. Clause 4 then applies as normal, including your launch date. If you have not sent photos, we may use suitable licensed stock images, which you can ask us to swap later as small changes.
11. Timescales
We aim to have a standard website live within one to two weeks of receiving the information we need from you and your registration being complete under clause 5, plus the time you take to review and approve it. These are targets based on how we usually work, not contractual guarantees, and delays caused by waiting for content or approvals are not our responsibility.
12. Changes, revisions and what costs extra
Included at no charge: up to ten small changes a month, each taking up to 15 minutes: editing existing text, swapping images, updating opening hours, prices, staff details or services. We aim to make small changes within two working days of your request, and often sooner, but busy periods can take longer. Unused changes do not carry over to the next month. Small changes cannot be combined or split up to carry out work that would otherwise be quoted separately, such as a new page, a redesign or a new feature. If a request needs more than 15 minutes, we will tell you and either count it as more than one change or quote it.
Quoted separately: new pages beyond the five included, new functionality, redesigns, integrations with third party systems, writing beyond the text for your core pages, including blog posts, and rebuilding a section from scratch.
We will always tell you before doing anything chargeable and wait for you to agree. You will never receive an invoice for work you did not approve.
During the build, you can ask for as many changes to the wording as you need before the site goes live, as set out in clause 8, provided they stay within the pages and features in your plan. We revise the design based on your feedback for up to two rounds of revisions. Further revisions beyond that are treated as additional work and quoted separately. Where feedback amounts to a change of direction rather than a refinement, for example a different design concept after one has been approved, we may also quote for the additional work.
13. Hosting, uptime and backups
Hosting is included in your plan. We use reputable providers and take regular backups.
We do not guarantee uninterrupted availability. Websites go down occasionally, for maintenance, for provider faults, for attacks, and for reasons outside anyone's control. We will use reasonable efforts to restore service promptly and to keep you informed, but we do not offer a service level guarantee or credits for downtime.
We may carry out maintenance that briefly interrupts the site, and will give notice where it is planned and likely to be noticeable.
14. Acceptable use
You may not use a website we host to store or publish anything unlawful, to send unsolicited bulk email, to distribute malware, to infringe someone's intellectual property, or to do anything that puts our servers or other clients at risk.
We may suspend or remove content immediately where we reasonably believe this clause has been broken, and where the breach is serious we may terminate the agreement without notice.
15. Ending the agreement
By you: once all twelve minimum term payments have been received in full, on 30 days' written notice to hello@greensandweb.co.uk. Cancelling before your launch date is covered by clause 4, and cancelling during the minimum term does not end your obligation to pay for it. You may also end the agreement if we seriously break these terms and do not put it right within 30 days of you telling us in writing what is wrong. Downtime, delays and things covered by clauses 13, 17 and 22 do not count as us seriously breaking these terms.
By us: on 30 days' written notice, or immediately if you are more than 30 days behind on payment, if you break clause 14, or if you become insolvent. If we end the agreement because of any of those three things, every remaining payment for the minimum term becomes due immediately as a debt. Closing, selling or changing your business does not end this agreement or your obligation to pay.
When the agreement ends, whoever ends it: the website is taken offline, your licence to use it stops, we will release your domain on request subject to clause 7, and any sums already due remain payable. We will keep backups for 30 days after closure in case you change your mind, then delete them.
We will not hold your domain or the content you supplied hostage over a dispute. Those are yours and you get them back, subject to clause 7 for the domain. Text we wrote for you is covered by clause 6.
16. Search optimisation
The basic SEO included in your plan covers the technical foundations: titles, descriptions, structure and page speed. We do not and cannot guarantee any particular ranking, any volume of traffic, or any number of enquiries, because those are decided by search engines rather than by us. Ongoing SEO strategy and content work is available as an add-on and carries the same limitation.
17. Third party services
Websites often rely on services other people run, such as payment providers, booking systems, mapping, fonts and plugins. We choose them carefully but we do not control them. We are not liable for their failure, their price changes, or their withdrawal, though we will help you move to an alternative.
18. Our liability
Nothing in these terms limits our liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.
Subject to that, our total liability to you in any twelve month period is limited to the total amount you paid us during that period.
We are not liable for loss of profit, loss of business, loss of anticipated savings, loss of data beyond restoring from our most recent backup, or any indirect or consequential loss.
We are not liable for fines, claims or losses arising from the content of your website once you have approved it, or from your website or business not complying with the law, except where that is directly caused by us failing to do what these terms say we will do.
19. Confidentiality
Each of us will keep the other's confidential information private and use it only for the purposes of this agreement. That includes us sharing it, where needed, with the software and service providers we use to deliver your website. This continues after the agreement ends.
20. Data protection
Each of us will comply with UK data protection law. Our privacy policy explains how we handle personal data as a business in our own right.
Where we process personal data on your behalf, for example messages that visitors send through a form on your website, you are the controller and we are your processor. In that case:
- What and why: we host your website and pass on or store what its visitors submit, such as names, contact details and messages, for as long as this agreement lasts, and only so that your website works
- We only process that data on your documented instructions, which are these terms and anything you ask us in writing, unless the law requires otherwise, in which case we will tell you first if the law allows
- Anyone at our business who can access it is bound to keep it confidential
- We keep it secure, as set out in our privacy policy
- You authorise us to use other providers to help, such as hosting and email providers. We will tell you before adding or replacing one, so you can object, and each is bound by data protection terms equivalent to these. We remain responsible to you for them
- We will help you respond to requests from individuals using their rights, and help you meet your own security, breach and impact assessment obligations, taking into account what we can reasonably see and do
- We will tell you without undue delay if we become aware of a personal data breach affecting your data
- When the agreement ends, we will delete the data or return it to you, as you choose, unless the law requires us to keep it
- We will give you the information you reasonably need to show that these obligations are being met, and allow and contribute to reasonable audits, at your cost and with reasonable notice
21. Portfolio
We may show a site we have built in our portfolio and refer to you as a client. If you would rather we did not, tell us and we will not.
22. Things outside anyone's control
Neither of us is in breach for a delay or failure caused by something genuinely beyond reasonable control, including provider outages, cyber attacks, loss of power or connectivity, illness, or government action. Where such an event stops us providing your website for more than 60 days in a row, either of us may end the agreement. This clause does not excuse any payment you owe.
23. General
- We may update these terms. Where a change materially affects you, we will give 30 days' notice by email.
- If any part of these terms is found unenforceable, the rest continues to apply.
- Nobody who is not a party to this agreement has rights under it.
- You may not transfer this agreement to another business without our written agreement, which we will not unreasonably refuse.
- These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
24. Getting in touch
Questions about any of this, ask before you sign up rather than after. We work by email: hello@greensandweb.co.uk, or use the contact form.
